EMPWRHER Retreat — Terms & Conditions

By purchasing or attending the EMPWRHER Retreat (“Retreat”), you agree to the following Terms & Conditions. These terms apply in addition to ExecFuel’s general Terms of Sale. Where there is any inconsistency, these Retreat Terms & Conditions prevail.

1. Inclusions & Exclusions

1.1 Your Retreat Ticket Includes:

  • Accommodation at Hunter Valley Lodge & Retreat (16–18 October 2026)

  • All meals as outlined in the retreat schedule

  • Workshops, coaching sessions, movement sessions, breathwork, somatic practices, and scheduled activities

  • One 30‑minute 1:1 session with Karen

  • Retreat materials and resources

1.2 Your Retreat Ticket Does Not Include:

  • Travel to/from the venue

  • Travel insurance

  • Additional meals, personal purchases, or optional extras

  • Medical or emergency expenses

2. Fees, Deposits & Payments

2.1 Payment options:

  • Early‑Bird Rate: $2,200 AUD (GST inc)

  • Payment Plan: $750 deposit + $750 at 30 days + $750 at 60 days

  • Full-Rate: $2,444 UAD (GST inc)

2.2 Deposits are non‑refundable.

2.3 Your spot is confirmed only once payment or deposit is received.

2.4 Failed instalments must be rectified within 3 business days.

2.5 Failure to complete payment may result in cancellation of your spot.

3. Cancellations, Transfers & Refunds

3.1 All payments are non‑refundable due to venue commitments and retreat preparation.

3.2 If you cancel, you may transfer your spot to another suitable participant (subject to approval).

3.3 If ExecFuel must cancel or reschedule due to unforeseen circumstances, you will receive a full refund or credit.

3.4 ExecFuel is not responsible for travel, accommodation, or incidental costs.

4. Health, Safety & Participation

4.1 Physical Activities

The Retreat includes physical movement, yoga, breathwork, somatic practices, meditation, movement walks, grounding practices, and nervous system regulation exercises.

You agree to participate within your physical limits and disclose any relevant medical conditions prior to attending.

4.2 Emotional & Psychological Work

The Retreat includes identity work, NLP, behavioural mastery, future‑self embodiment, and reflective practices that may evoke emotional responses.

You agree to take responsibility for your wellbeing and seek support if needed.

4.3 Safety During Sessions

You agree to follow facilitator instructions during movement, breathwork, and somatic sessions.

If you experience discomfort, you agree to stop and notify a facilitator.

4.4 Medical Responsibility

You acknowledge that ExecFuel does not provide medical or psychological services.

You are responsible for your own physical and mental wellbeing during the Retreat.

5. Dietary Requirements

5.1 Meals are provided as outlined in the schedule.

5.2 You must notify us of dietary requirements at least 14 days prior.

5.3 While reasonable care is taken, ExecFuel cannot guarantee avoidance of all allergens.

6. Venue Rules & Shared Spaces

6.1 You agree to respect venue rules, shared spaces, and other attendees.

6.2 Disruptive, unsafe, or inappropriate behaviour may result in removal without refund.

7. Schedule Flexibility

7.1 The retreat schedule is subject to change due to weather, facilitator availability, or group needs.

7.2 ExecFuel reserves the right to adjust session times or content.

8. Check‑In & Check‑Out

8.1 Check‑in and check‑out windows are fixed as per the retreat schedule.

8.2 Early arrival or late departure may not be accommodated.

9. 1:1 Sessions

9.1 Your ticket includes one 30‑minute 1:1 session with Karen.

9.2 Additional sessions are optional and subject to availability.

9.3 Session times are booked via Calendly and must be attended at the allocated time.

10. Confidentiality

10.1 You agree to maintain confidentiality of personal stories shared by other participants.

10.2 Breaching confidentiality may result in removal from the Retreat.

11. Media, Photography & BTS Content

11.1 Retreat sessions may include photography or videography for marketing or educational purposes.

11.2 You may opt out by notifying ExecFuel in writing before the Retreat.

11.3 Any media captured will be used respectfully.

12. Intellectual Property

All Retreat materials, frameworks, tools, and content (including the 3C’s, identity work, nutrition frameworks, and leadership tools) remain the intellectual property of ExecFuel™.

You may not reproduce or use materials for commercial purposes.

13. Limitation of Liability

13.1 Nothing in these Terms excludes rights under Australian Consumer Law.

13.2 To the maximum extent permitted by law, ExecFuel is not liable for:

  • personal injury, illness, or loss

  • travel delays or cancellations

  • external events outside our control

  • emotional responses arising from retreat activities

14. Force Majeure

ExecFuel is not liable for failure to deliver the Retreat due to events beyond our control (e.g., natural disasters, government restrictions, illness).

In such cases, a rescheduled date or credit will be offered.

15. Governing Law

These Terms are governed by the laws of New South Wales, Australia.

16. Agreement

By purchasing or attending the Retreat, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
